Privacy Policy

Website, portal, online-store, and business-contact information

This Privacy Policy explains how 212 Visual, Inc. (“212 VISUAL,” “we,” “us,” or “our”) collects, uses, discloses, and protects information through its website, customer portal, online store, and related business interactions. It applies to business contacts and authorized users in the United States.

1. Information We Collect

Information you provide may include:

  • Name, job title, company, business address, email address, and telephone number;
  • Account credentials and authentication information;
  • Billing, shipping, tax-exemption, purchasing-authority, and transaction information;
  • Orders, quotations, product interests, support requests, communications, and preferences;
  • Payment-related information processed by our payment provider; and
  • Information submitted through forms, chat, surveys, or other site features.

Information collected automatically may include IP address, device and browser information, pages viewed, referring pages, timestamps, approximate location derived from IP address, cookie identifiers, and interactions with the site and emails.

We may also receive information from your organization, authorized coworkers, manufacturers, distributors, service providers, referrals, public business sources, and sales or marketing platforms.

Sensitive Personal Information. 212 VISUAL does not collect “sensitive” personal information (such as government identifiers, precise geolocation, or health information) through the site, except that the account credentials and authentication information described above, and any taxpayer identification number provided on a tax-exemption or vendor-onboarding form, may be treated as sensitive personal information under some state laws. We use that information only to authenticate authorized users and to meet tax and accounting requirements, and not to infer characteristics about you.

2. How We Use Information

  • Create and administer accounts and verify authorized users;
  • Process orders, payments, taxes, shipping, returns, warranties, and support;
  • Prepare quotations and provide requested product or service information;
  • Communicate transactional, security, account, and policy notices;
  • Personalize customer-specific pricing, content, and account experiences;
  • Operate, secure, troubleshoot, analyze, and improve our website and services;
  • Prevent fraud, misuse, unauthorized access, and other harmful activity;
  • Comply with law, enforce agreements, and protect legal rights; and
  • Send relevant business marketing where permitted, subject to available opt-out rights.

3. Cookies and Similar Technologies

We and our service providers use the following categories of cookies and similar technologies: strictly necessary (for authentication, security, and core site functions); preference; and analytics (for example, Google Analytics 4). You can manage nonessential technologies through https://212visual.com/cookie-settings and your browser settings. Blocking strictly necessary cookies may prevent account or checkout features from working. See Section 4 (Do Not Track and Cross-Site Tracking) below and, if applicable, “Your California Privacy Rights” under Section 10.

4. Do Not Track and Cross-Site Tracking

Some browsers offer a “Do Not Track” (“DNT”) signal. Because there is no common industry standard for interpreting DNT signals, our site does not currently respond to them. Third parties, including our analytics and, if enabled, advertising providers, may collect information about your online activities over time and across different websites or online services when you use our site. You can manage nonessential cookies and similar technologies through https://212visual.com/cookie-settings and your browser settings. DNT is different from a browser-based opt-out preference signal such as the Global Privacy Control (“GPC”). We treat a GPC signal received from your browser as a request to opt out of any sale, sharing, or targeted advertising that we conduct.

5. How We Disclose Information

We may disclose information to:

  • Service providers supporting hosting, security, authentication, analytics, customer relationship management, communications, payment processing, tax calculation, order fulfillment, and support;
  • Manufacturers, distributors, carriers, and installation or service partners as needed to quote, fulfill, deliver, register, support, or warranty products;
  • Customer’s organization and its authorized administrators or users;
  • Professional advisers, auditors, insurers, financing sources, and prospective transaction parties subject to appropriate protections; and
  • Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, security, or prevent fraud.

212 VISUAL does not sell personal information for monetary consideration. Based on our review of the tracking technologies deployed on the site, 212 VISUAL also does not disclose personal information in a way that constitutes a “sale,” “sharing,” or targeted advertising under applicable state law. Some states define a “sale” or “sharing” of personal information broadly to include certain disclosures to advertising or analytics partners, including through cookies and similar technologies, even when no money changes hands.

6. Payment Information

Payments are processed by a third-party payment provider. 212 VISUAL may receive transaction status, billing details, and limited payment identifiers, such as the card brand and the last four digits. 212 VISUAL does not store full payment-card numbers. The provider’s privacy notice also applies to its processing.

7. Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy and to meet legal, tax, accounting, warranty, security, dispute resolution, and enforcement obligations. Retention periods vary by record type. As general guidance: account and authorized-user records are kept for the life of the account and for a reasonable period afterward; order, invoice, and tax records are kept for seven years to meet tax and accounting requirements; warranty and support records are kept for the applicable warranty period plus a reasonable period; and marketing contact records are kept until you opt out and for a reasonable period afterward. Where we cannot state a fixed period, we determine the retention period based on the criteria above. We may retain deidentified or aggregated information, which is not subject to these periods, where permitted by law.

8. Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. No system or transmission is completely secure, and we cannot guarantee the security of information transmitted to or through the site. Users must protect their credentials and promptly notify 212 VISUAL of suspected unauthorized access.

9. Notice of a Data Breach

If a security incident affecting your personal information occurs, 212 VISUAL will investigate and will notify affected individuals and applicable regulators when and as required by the data-breach notification laws of Indiana and any other state whose law applies, within the timeframes those laws prescribe.

10. Your Choices and State Privacy Rights

Users may update certain account information, manage marketing preferences, and adjust cookie choices through available tools or by contacting us. Depending on residency and applicable law, an individual may have rights to request access, correction, deletion, portability, or information about processing, and to opt out of certain sales, sharing, targeted advertising, or profiling. We may verify requests, apply legal exceptions, and permit an authorized agent as required by law. We will not unlawfully discriminate for exercising privacy rights.

Submit a privacy request at privacy@212visual.com or contact us using the information in Section 16 (Contact Us). Appeals, where applicable, may be submitted through the same channel with “Privacy Appeal” in the subject line.

Response and appeal timelines. Where applicable law gives you a privacy right, we will respond to a verified privacy request without undue delay and in any event within the time that law requires (generally 45 days, extendable once by an additional 45 days where reasonably necessary, with notice to you). If we decline to act, we will explain why and how to appeal. If your jurisdiction provides an appeal right, we will inform you of the outcome of an appeal within the period its law requires (generally 60 days).

Your California Privacy Rights

This section applies to California residents and supplements the rest of this Policy. Based on its current revenue and processing volumes, 212 VISUAL is not a “business” subject to the California Consumer Privacy Act (“CCPA”). 212 VISUAL nonetheless offers California residents, including individuals whose information we obtain in a business-to-business context, the choices described below as a matter of practice. If or when the CCPA applies to 212 VISUAL, California residents will have the full rights that law provides, including the rights to know and access, delete, correct, and obtain a portable copy of their personal information, to opt out of any “sale” or “sharing” of personal information, and to limit the use of sensitive personal information.

  • Categories of personal information. In the preceding 12 months, we have collected the categories of personal information described in Section 1 (Information We Collect), from the sources described in Section 1, for the business and commercial purposes described in Section 2 (How We Use Information), and have disclosed those categories to the categories of recipients described in Section 5 (How We Disclose Information).
  • Sale and sharing. 212 VISUAL does not sell personal information for monetary consideration. Based on our review of the tracking technologies deployed on the site, 212 VISUAL has not “sold” or “shared” personal information as those terms are defined under California law.
  • Retention. We retain each category of personal information for the periods described in Section 7 (Retention).
  • How to exercise your rights. Submit a request at privacy@212visual.com or by contacting us using the information in Section 16 (Contact Us). We will confirm receipt and respond within 45 days, with one additional 45-day extension where reasonably necessary and with notice to you. You may appeal a decision as described in this Section 10. We will not discriminate against you for exercising your rights. You may use an authorized agent to submit a request on your behalf, subject to verification.

11. Marketing Communications

Marketing emails from 212 VISUAL identify themselves as advertising where required, include our physical postal address, and contain a clear unsubscribe mechanism. You may opt out of marketing email at any time using the unsubscribe link in any such message or by contacting us at privacy@212visual.com. We will stop sending marketing email within ten (10) business days of your request. We may continue to send transactional or relationship messages — including order, account, security, and service communications — which are not promotional. 12. Children’s Privacy

The site is intended for business users and is not directed to children under 13 years old. We do not knowingly collect personal information from children under 13 through the site, and we do not knowingly sell or share the personal information of any individual under 16 years old. Contact us if you believe a child has provided such information.

13. U.S. Operations

The site and online store are intended for users and transactions in the United States. Information may be processed in the United States and in other locations where our service providers operate, subject to applicable law and contractual protections.

14. Third-Party Links

Third-party sites, services, and manufacturer resources have their own privacy practices. This Policy does not govern information processed independently by those third parties.

15. Changes to This Policy

We may update this Policy and will post the revised version on the site with a new effective date. We review this Policy at least once every 12 months. When changes are material, we will provide additional notice by email to registered portal and store account holders, by a notice posted on the site, or by both.
